Client guide · shared with you by your Belton team

A phone system that just works.

Old phone systems fail quietly: a box in the comms cabinet nobody can configure, lines that cost more than they should, and no way to work from anywhere else. This page walks you through moving to Belton VoIP, a hosted business phone system priced per user per month, and the one step that needs real care: moving your numbers without losing a single call.

Assessment

30 to 45 minutesNo charge

We look at what you have and what it really costs: the current system, the line rental, the call charges, and the contracts behind them. Then we listen to how calls actually flow through your business, because the phone system should fit the way you answer, not the other way round.

What we need from you
  • A recent phone bill, so the comparison is honest
  • How calls should be answered: who rings first, what happens after hours
  • Every number you own, including the fax number nobody talks about
You leave withA current-versus-new cost comparison and an honest view of whether the move stacks up.

Design & scoping: the plan and the price

Price is fixed here

We design your call flows: ring groups, menus, voicemail-to-email, business hours and holiday behaviour, plus who gets a desk handset and who just uses the app on their laptop or mobile. The scope fixes the per-user monthly price, any handset hardware, and the one-off setup work.

The scope names
  • Per-user monthly pricing, from $28 per user plus GST
  • Handsets, headsets and any hardware, itemised
  • Every call flow, drawn so you can see it
  • The porting plan for every number you own
What we need from you
  • Sign-off on the call flows: you know your callers best
  • The decision on handsets versus apps per person
You leave withA fixed monthly price per user and a one-off setup cost. No surprise toll bills, no hidden line rental.
Decision point · yours
Approve the design and the price.

Nothing is ordered and no porting request is lodged until you approve. Your current system keeps working throughout.

Build & number porting

The careful bit

The new system is built and tested alongside the old one. Meanwhile we lodge the porting requests to move your numbers across. Porting runs on carrier timeframes, not ours, so we manage the dates and keep you told: your numbers are the identity of your business, and they move once, cleanly, on a scheduled day.

What happens
  • New system configured with your call flows and tested with real calls
  • Porting requests lodged and tracked for every number
  • Handsets pre-configured and delivered ready to plug in
What we need from you
  • The account details your current numbers sit under; porting fails on mismatched paperwork
  • Do not cancel the old service yourself: cancelling before the port completes can forfeit the numbers
4

Go-live & training

Port day

On the scheduled day your numbers cut across to the new system. Calls land in the new call flows, handsets ring, and we are watching the first calls come through. Your team gets a short, practical session: transferring, holding, voicemail, and using the mobile app, which is most of what anyone needs.

What happens
  • Numbers port across; we test inbound and outbound immediately
  • A short hands-on session for your team, plus a one-page guide
  • The old service is cancelled only after the port is proven complete
5

Run & adjust

Ongoing

Call-flow changes stop being a technician visit and become a quick request: a new starter, a changed menu, different holiday hours. The system is monitored and managed with the rest of your environment, and because it is hosted, an internet or power failure at the office can divert calls to mobiles instead of ringing out to nothing.

What ongoing looks like
  • Call-flow and user changes handled by the helpdesk
  • One predictable per-user monthly cost
  • Business mobile plans available alongside, from $35 per month plus GST
The deal

What you can hold us to.

Both ways
What you can expect from us
  • A fixed per-user monthly price before you commit
  • Every number ported and proven before the old service is cancelled
  • Call flows you signed off, drawn and tested before port day
  • The porting paperwork managed for you, dates communicated honestly
What we ask of you
  • A real phone bill for the comparison, and the account details for porting
  • Sign-off on the call flows before build starts
  • Do not cancel anything with your current provider; we time that with the port

Start with
the bill.

Send us a recent phone bill and we will show you the comparison. If staying put is cheaper, we will tell you that too.

And relax

Getting started is the easy part.

Onboarding without drama

We do the switch: your current provider, the migration, the handover, all of it. Most teams barely notice the cutover happened.

Everything looked after

On the right plan, compliance, reporting and budgets are handled inside the partnership. You run the business; we run the IT underneath it.

Your QBR writes itself

Quarterly business reviews are generated automatically from your live environment: spend, posture, recommendations and roadmap, ready for the board, reviewed with your account manager.

The honest bit: the full looked-after experience comes with the right plan. We charge fairly for what we take on, and when costs step up it's because you are taking on more, always moving in the right direction.
